Invoice Tracker: Free Spreadsheet Template to See Who Owes You
Free invoice tracker spreadsheet: one row per invoice with status, due date and days overdue, plus the five columns that actually matter. Download the CSV or build it in Sheets.
What an invoice tracker should show
- One row per invoice: number, client, date sent, due date, amount, amount paid, status (sent / partial / paid / overdue), days overdue.
- A total of what is outstanding and a total of what is overdue, at the top.
- A column for the last reminder date, so you know when to send the next one.
Download the spreadsheet
Opens in Google Sheets, Numbers or Excel. Two example rows show the formula for days overdue.
How to keep it up to date
- Add the row the moment you send the invoice, not at the end of the month.
- Mark it paid the day the money lands, with the date; your bank statement will match later.
- Every Monday: sort by days overdue, send reminders to anything over 7 days.
When a spreadsheet stops working
- At about 20 open invoices the spreadsheet becomes the job. An invoice app that creates the invoice and tracks its status in one place removes the double entry; the list of who owes you is just there.

Questions
What is the simplest way to track invoices?
A spreadsheet with one row per invoice and a status column, updated the day you send and the day you are paid. The CSV above is that.
How do I calculate days overdue?
Today minus the due date, only when status is not paid. In Sheets: =IF(G2="Paid","",TODAY()-D2).
Should I track estimates too?
Yes, in a second sheet with status sent / accepted / declined. Accepted estimates become invoices.
